A comprehensive records management program affects the ease with which companies do business, may result in cost savings, and is necessary to comply with applicable law. It is also a best practice for minimizing litigation risks and preserving information critical to the company’s defense if a charge of discrimination is filed or an agency audit commences. In this month’s Featured Service, HEC provides several resources, including an updated Checklist for Maintaining Employee Files and Record Retention Requirements and an HR Practices Review Tool, for members to use in reviewing their record retention practices.

While HR professionals are well aware that handbook policies need regular updating, we often overlook updating other important documents and procedures. For example, when is the last time that your company reviewed its hiring practices or updated its employment application? Employers are wise to audit and update these items periodically, to ensure that they are legally compliant and capture the information you need to streamline recruitment efforts. In this month’s Featured Service, HEC provides several resources, including an updated model Employment Application and current information on legal interview questions and the Fair Credit Reporting Act, for members to use in reviewing their recruitment and hiring practices.
2013-03-21 On March 8, the U.S. Citizenship and Immigration Services (USCIS) issued a revised Form I-9 to verify the identity and employment authorization eligibility of employees. Revisions include formatting changes and the inclusion of additional data fields which extend the form to two pages. The new form took effect immediately and will become the only acceptable version on May 7, 2013. HEC is hosting a seminar on the new form and best practices on preparing for an I-9 audit on April 4, 2013.
