Rooms & Rentals

Permissible Rental Uses:

Members may use HEC conference rooms to conduct internal company business. Permissible room use purposes include internal trainings or meetings, business meetings, or union negotiations. Impermissible room use purposes include fundraising events open to the public or events or training sessions open to the public when a fee is charged. For example, a member who provides computer training for a fee could not use HEC rooms to hold computer classes for its clients.

Additionally, members may not use HEC’s facilities for meetings of trade or professional associations, clubs, groups, or other organizations, unless the group or organization is itself an HEC member.

Room Cost and Rental Limitations:

Rates are subject to change. Any short bookings during the mid-day lunch period (11 am – 1 pm) will be charged at the higher long-term rate (due to the inability of another member to book the long-term rate that day).

**The Kahili Room is set up classroom style, and the other rooms are set up boardroom style. The Kahili room capacity can be increased if the layout of the furniture is changed. Members may rearrange the tables and chairs for their use but must return the furniture to its original configuration prior to their departure.

Food and Beverage:

Members may bring in outside food and beverages, but alcoholic beverages are prohibited. Coolers are permitted but need to be leak free and placed on towels.

If utilizing the Kahili Room or Pikake Room, coolers may be stored only in HEC’s 1st Floor Kitchen. The use of HEC’s refrigerator on the 1st Floor is available, but the refrigerator on the 2nd Floor is not available.

If using the Ohia or the Ilima Room on the 2nd Floor only, please store coolers on the 1st Floor in the tiled area in the hall next to the elevator and not on the carpet.

Parking:

Parking accompanying the room use is free. However, parking rates may apply based on occupancy and stall availability.

Members must notify HEC in advance how many cars they anticipate so that appropriate parking arrangements may be made.

Availability:

Conference rooms are available for use during our normal business hours, Monday through Friday, 8:00 am to 4:00 pm. Members may set-up 30 minutes before start time.

Please avoid entering areas that are designated for “HEC Staff Only.”

Equipment:

The Kahili conference room is equipped with the following A/V equipment:

  • 90” TV and PA system (complimentary).
  • Wi-Fi Internet (complimentary).
  • Conference Telephones (complimentary).

HEC does not provide Post-It easel pads. However, members are welcome to bring their own Post-Its easel pad and place them on room walls. Other posters, signs or attachments to walls are prohibited unless with HEC’s prior written approval.

Laptop Requirements:

If you are interested in bringing your own laptop to connect with a conference room TV, please verify compatibility with HEC’s display devices prior to the event. HEC is not obligated to provide set up for outside equipment.

  • The laptop must have at least one of the following video ports: standard HDMI, Mini Display Port, standard DVI, or standard VGA.
  • The laptop must have the capability to project to a secondary display device
